Library Cards & Borrowing Books/CDs/DVDs

The library does have physical items, such as print books, that can be borrowed when the library resumes operations at its physical locations.

A library card is only needed to check out physical items. Library borrowing privileges are extended to all GCC students, faculty, staff and community members who are 18 years of age or older and are permanent residents of Germanna's service region. For students, faculty, and staff: your GCC ID card is required to activate your library account.  The first time you borrow items, you will need to fill out a short library card application. 

For community members: you will receive a Germanna-issued library card after completing your library card application.  Your permanent address must fall within Germanna's service region to receive a community member library card.

Borrowing Materials

A GCC ID card or a community member library card must be presented in order to check out materials.  Materials will not be checked out to patrons who present another person's GCC ID or community member library card, including spouse's and other family members.

Items in all circulating collections are eligible for check out. Reference materials, periodicals, special collections, and other items not in the circulating collections do not circulate.

Loan (Borrowing) Periods

    Students: 4 week loan period, plus one 4 week renewal period
    Faculty/Staff: Duration of current semester
    Community Members: 3 weeks

Renewing Items

    Students: One 4 week renewal
    Faculty/Staff: Renewal permitted when items are not in demand
    Community Members: One 3 week renewal

Maximum Number of Items

    Students: 20 items
    Faculty/Staff: 25 items
    Community Members: 6 items

Audio-Visual Materials

    Students: 4 week loan
    Faculty/Staff: Duration of current semester
    Community Members: 3 week loan

Returning Materials

Materials may be returned to any GCC library help desk or book drop box.

Recalled Items

Faculty and staff members may recall items currently checked out for the entire semester if the item is needed by a student for research or a related course assignment. The patron from whom the item is recalled will be permitted to keep the item for 3 weeks or for the remainder of the loan period, whichever is shorter.

Overdue Materials

Three overdue notices will be sent at 10 day intervals. If materials are not returned after 3 overdue notices, a bill for the replacement costs of the items will be sent to the patron, and a hold will be placed on the patron's account.

Lost or damaged materials should be reported promptly. Overdue items and/or unpaid fees will result in the loss of library privileges. Unpaid fees will be submitted to the state for collection.

Library Equipment Borrowing Guidelines

Germanna Libraries Equipment Use Policies

Communication reduces risk! If you have a problem with borrowed equipment or need help with returning equipment – talk to us!

  1. Students must be currently registered for classes at Germanna Community College to borrow library equipment.
    • Laptop loans are limited to students only. Faculty, staff, and community visitors may not borrow laptops.
  2. Germanna Libraries equipment is the property of the state of Virginia. Equipment may not be loaned by the borrower to another person.
  3. Privileges to borrow library equipment may be suspended or revoked due to repeated late returns of equipment and/or returning equipment that is damaged or otherwise no longer in working condition, including loss of critical components. Damage includes returning equipment with permanent stains.
  4. Germanna Libraries equipment is intended for academic use. This use must conform to the Germanna Community College Student Handbook section titled Responsible Computing, which may be viewed at https://catalog.germanna.edu/content.php?catoid=4&navoid=121#responsible-computing
  5. Loan periods are for one full semester at a time. Due dates will be set to one week after the final exam date each semester. Loans and renewals are contingent on continued current enrollment. If a borrower drops/withdraws from classes mid-semester or is not continuing their enrollment, the borrower must return their equipment by the due date issued by the library. Renewals will be processed automatically by library staff for students continuing their enrollment prior to the start of each new semester.
  6. Non-enrolled borrowers who become 30 days overdue on their equipment loan will be placed on hold in the Student Information System (SIS). This hold will be removed once the equipment is returned.
  7. Repair/replacement charges will result in a hold being placed on a borrower’s record in the Student Information System (SIS). SIS holds will block all student services until the charges are addressed by the borrower.
  8. Borrowers may not attempt to repair laptop malfunctions. Laptop malfunctions must be reported to library staff. Borrowers are encouraged to return damaged or malfunctioning equipment as soon as possible.
  9. Laptops may not be returned locked or with personal access codes in place.
  10. In the event of damage, loss or theft of equipment, borrowers are responsible for any equipment checked out under their name, including all accessories included at the time of check out. Replacement costs may be higher depending on the final estimate for any repairs or replacement parts:
  • HP Probook 430 G8 Laptop - $1200.00
  • Laptop power cable and bag - $30.00
  • Logitech Webcam - $100.00
  • Wacom Intuos Tablet package w/USB cable and stylus - $80.00
  • Processing fee - $10.00

Germanna Libraries equipment is Virginia state property.

Referrals for overdue equipment may be made to College Police, in some cases. Please speak with Germanna Libraries staff if you have a question regarding any of the conditions listed above.

Fees for Lost or Damaged Items

  • There are no overdue fines.  However, the replacement fee for a lost item is $50 per item plus a $10 non-refundable processing fee

  • If library staff inspect a damaged item and deem it "still able to circulate," the fee is $10 for excessive highlighting/marginalia and/or light to moderate damage.
